This Privacy Policy explains how Ratiba360, a product of
Mega 360 Designers, collects, uses, and protects information
when schools use our timetable management system.
1. Who We Are
Ratiba360 is a school timetable management system developed and operated by
Mega 360 Designers, a digital agency based in Malindi, Kilifi County, Kenya.
When your school uses Ratiba360, we may collect and store the following:
School information - school name, county, phone number, and email address provided during registration.
User account data - names, email addresses, and usernames of school administrators and teachers.
Timetable data - classes, subjects, grade levels, period slots, and teacher assignments you configure.
Payment information - M-Pesa transaction reference numbers and payment amounts. We do not store full M-Pesa PIN or card numbers.
Usage data - page visits and actions within the system (e.g. which timetables were generated or edited).
We do not collect sensitive personal data about students (such as student names, IDs, or grades). The system manages timetable schedules only.
3. How We Use Your Information
We use the information collected to:
Provide, operate, and maintain your school's Ratiba360 system.
Verify payment and activate your school account.
Provide technical support and onboarding assistance.
Communicate with your school about system updates or important notices.
Improve the Ratiba360 system based on usage patterns.
We do not sell, rent, or trade your information to any third party for marketing purposes.
4. Data Storage & Security
Your school's data is stored on secured servers (HostPinnacle shared hosting or Hetzner VPS depending on your deployment).
We implement the following security measures:
Passwords are hashed using bcrypt - we cannot read your password.
All pages are served over HTTPS (SSL/TLS encryption).
Database access is restricted to the application layer only.
Session data is managed securely with PHP session controls.
While we take reasonable precautions, no system is 100% secure. We encourage you to use strong passwords and not share login credentials.
5. Data Retention
Your school's data is retained for as long as your Ratiba360 system is active.
If you request deletion of your data, we will remove your school's records from the system
within 30 days of your written request to
info@megadesigners.co.ke.
6. Sharing of Information
We do not share your school's data with third parties except in the following limited cases:
Where required by Kenyan law or a valid court order.
To hosting providers who operate the servers on which Ratiba360 runs (these providers are contractually bound to keep data secure).
7. Cookies
Ratiba360 uses session cookies to maintain your login state within the system.
These cookies are essential for the system to function and are deleted when you log out or close your browser.
We do not use tracking cookies, advertising cookies, or third-party analytics cookies.
8. Children's Privacy
Ratiba360 is a school administration tool intended for use by school staff (administrators and teachers).
It is not designed for direct use by students under the age of 13.
We do not knowingly collect personal data from children.
9. Your Rights
As a user of Ratiba360, you have the right to:
Access the personal data we hold about your account.
Request correction of inaccurate data.
Request deletion of your data (subject to legal obligations).
We may update this Privacy Policy from time to time. When we do, we will update the
"Last updated" date at the top of this page. Continued use of Ratiba360 after changes
constitutes acceptance of the updated policy.
